Easily Export Marketing Segment Members Without Customization
A straightforward way to export marketing segment members without customization in Dynamics 365
Since the shift from outbound to real-time marketing in Dynamics 365 Customer Insights Journeys, I’ve been on a quest to find a simpler way to export segment members from past marketing journeys. If you’re like me, you’ve probably been frustrated by the limited export options.
Currently, we can only export segment members directly from within a specific Journey. The real challenge? You can only export the members for one email at a time. So, if your Journey includes multiple emails, you have to click on each email action, open the delivery report, and export the members individually. On top of that, there’s no way to add additional columns to the report view, which is... well, kind of disappointing!
But here’s the good news—I’ve found a “quick and dirty” solution that makes exporting segment members way easier. With this method, you can:
Export any segment you want, whether the members belong to a single email or multiple journeys.
Include any contact or lead column you need for the export file.
No need for workflows, custom tables, or any other complicated customization!
It’s simple, it works, and it saves you a ton of time. Let’s find out how this works.
1- Prepare your Segment
First, if you don’t have your segment ready, go ahead and set it up, applying any filters you need to target the members you want.
2- Build a new Journey
Yes, you’ll need to build a new journey for the export purpose, but don’t worry—you can delete it afterwards if you want. No big deal!
Create a new segment-based journey, and select the segment you already created in the previous step. Set the date/time to next few minutes and hit Create.
For the Action step, choose to send a Task. Give it a unique name, and make sure to assign it to yourself (your username)
And that’s it—nothing else to configure! Now, you might be wondering, "Why do I need a task to export the segment list?" Well, let’s check out the last step below to find out!
3- Export your list and Delete the created Tasks
Once the journey runs, a new set of tasks will be created in CRM—one for each segment member—assigned to you.
Now, all you need to do is edit the columns in the Activity view. Remove any columns related to the task itself, and add any columns from the contact or lead table that you want to include.
When you're happy with the setup, export the list to an Excel spreadsheet. And there you have it—a list of segment members with all the columns you selected!
The final step? Just delete all the tasks and, if you want, stop and delete the journey you created. Done!
